How Does Carry Over Work?

Setting carry over rules will tell the system what you want to do with the employees' unused leave amounts for the year depending on your company's policy. If you have permissions to Modify and View the Leave Balances you can set carry over amounts on default and custom leave types.

Setting Up Carry Over for a Leave Type

  • To set up Carry Over for a leave type, Click on the Administration gear icon on your header. Navigate to Employees tab and go to Types of Time Off section. 
  • To edit a Type of Time Off that you have already created, click on its name which is highlighted in blue.

  • You will now see check boxes to enable Carry Over Limit or Max Accruals.
  • Click the checkbox to enable Carry Over Limit (Note: Carry Over and Max Accruals work best when used separately, we suggest use of the one that best aligns with your HR policies).
  • This will bring up the carry over limit options.
  • On the Default Carry Over field, enter the maximum number of days that each employee is allowed to carry forward at the end of the year, by default. This can be adjusted for individual employees with a different carry over limit.
  • Carry Over Expiry - If you allow a carry over then the carried over amounts can optionally expire after a specified amount of time. Select the desired expiry window from this drop down.

  • Click Save Type of Time Off to save your changes.

Setting up Carry Over for an Individual Employee 

  • Once you have set up Carry Over Limit within the Type of Time Off screen, you will have to change it for your existing employees, if they have different carry over then the default.
  • To change the Carry Over Limit for a single employee, navigate to their employee file and click to expand the Time Off Section, select the type of time off  that you wish to edit from the drop down menu.
  • Click on the number of days highlighted in blue beside Annually Allowed; this will bring you to the Edit Allocation screen.

  • To set the employee's carry over limit for a particular time off type, enter the amount under the Allowed Carry Over field provided.
  • Click on Update to save the changes.

Setting Up Carry Over Limit for Multiple Employees

  • If you are changing the Carry Over Limit for a number of employees navigate to Reports tab and click on Annual Time Off Allocations.
  • This will bring up a list the annual time off allocations for everyone in your company.

  • To edit the time off allocations click on the highlighted blue number that corresponds to the type of time off that you wish to edit for the specific employee; this will bring you to the Edit Allocation screen.

  • To set the employee's carry over limit for a particular time off type, enter the amount under the Allowed Carry Over field provided.
  • Click on Update to save the changes. Repeat this process for the employees that have a different carry over limit from the default amount.

  • A message will confirm that you have saved the employee's time off details.

Setting Up Carry Over for A New Employee

  • When adding a new employee using the Employee Wizard you can specify the employee's carry over limit.
  • While you are navigating through the Employee Wizard, you can edit vacation allotment in the section called: 2) Account Details.
  • Use the drop downs to expand the Type of Time Off you wish to edit for your new employee.

  • For the types that you have enabled Carry Over you will now see options. These options will be auto-filled based on the default settings when you configured this particular Type of Time Off .

  • Continue through the Employee Wizard to add your new employee to TribeHR.

How Do Carry Over Amounts Reflect in an Employee's Time Off Section?

*This employee is allowed to have a maximum of 3 days excess of the last period (1 Nov 2013 to 31 Oct 2014) to be carried over to the following period. At the end of the period, employee's balance is 7.284947, since the maximum days that can be carried over is 3, only this amount was carried over to the next period.
