How Do You Hire A New Employee From An Applicant File?

In TribeHR, there are four ways to get employee information into the system, by hiring employees via the applicant file, manually adding employees with the Employee Wizard, import employee information and inviting applicants to fill out their own profile.

Once you have gone through the recruiting process and you've chosen a candidate to hire, you can add them to TribeHR using the information from their applicant file.

  • If given with the permissions to create an Applicant navigate to the Hiring tab.
  • Once in this tab navigate to the Applicants section.
  • You can find the applicant in this list by searching for them using the search tools or scrolling through the list to find your candidate, once you find them click on their name to bring you to their Applicant File.

  • Once in the Applicant File click the green Hire button to start the hiring process.

  • This will bring up the Hire dialog box.
  • Click the Create New Employee Account check box to create a new employee account
  • Add a Note if you wish to be included on the Employee File.
  • Click the green Hire button 

  • You will now be brought to the Employee Wizard which will walk you through adding a new employee to TribeHR. 
  • The First and Last Name of your new employee will already be auto filled because it is pulled from the applicant file.
  • Click Continue to move on to the next section of the Employee Wizard.

  • Fill in the Account Details for your new employee
  • The Email Address and  Username are auto filled by information pulled from the applicant file, the Email Address should be changed to the employee's company email address.
  • Use the Account Type drop down to select the type of account that this employee will have,  Administrator, Manager or Employee.
  • Fill in the rest of the information that you wish to track, including any Company Tracked Details that you have set up, don't worry if you don't have all the information now, you can always go to the employee file to add information.

  • Under the Time Off Quotas section you can set up the time off quotas for the employee using the drop downs, the defaults for the time off types you have set up will be auto filled in this section. 
  • Click Continue to move to the next section of the Employee Wizard

  • On the Employee Details screen you can fill in the Mobile or Home PhoneStreet Address, City, Province, Country, Postal or ZIP Code, Birthday and Emergency Contact Name and Number. Information that can be pulled off the applicant file will be auto filled, don't worry if you don't have all the information yet, you can add it in on the Employee File later.
  • Click Continue to move to the next section of the Employee Wizard.

  • Fill in the Job Details for your employee, First Day of Work, Work Hours Per Day and Standard Hours (Work Hours Per Week) are mandatory fields. 
  • Use the drop downs to select their Manager, Job Title, Department, Location, Employee Class and Pay Type.
  • Fill in the rest of the information as needed, including, Employee Number and Pay Rate.
  • Click on Continue to move to the next section of the Employee Wizard.

  • In Roles and Permissions feature, the Role Assignment is newly added in employee wizard , Employee is the default role and assigned to all user. Select the other roles that the user will be assigned and click Continue

  • Confirm the details that you have input via the Employee Wizard are correct, if not you can click the Edit These Details button to be brought back to the proper section to change these details. 
  • You can Select or Deselect the Send This Employee A Welcome Email, Inviting Them To Set Their Password checkbox, depending on if you want them to set up their credentials right away, if you deselect this check box you can invite them into TribeHR later. 
  • Click Save & View Employee to create the employee, you will be brought to their employee file where you can see the information you just set up.
