Limitable Permissions

TribeHR Roles and Permissions feature allows you to customize what users can access in your account. When creating a new role or editing an existing role you will see the permissions grouped into two. These are the Global Permissions and Limitable Permissions.

Limitable permissions are permissions that you assign to the role which you can further restrict by Department, Location and Relationship.

Privacy - This cards provide permission access to Human Resource functionality. 

Sensitive Employee Information  - This card provides access to the protected information of the Employee.

Basic Employee Information  - This card provides access to basic information about the Employee.

Access Control - This card provide access to delegate specific roles to an Employee.

Leave Management - This card provides access in Employee time off and time tracking system.

Performance Management and Recognition - This cards provide access to performance, rewards and recognition of the Employee.

Calendar  - This card provides access to Company events, holidays, birthdays, anniversarries etc.

Health and Safety - This card provides permissions to report security and health related incidents.

Hiring - This card provides access in Applicant tracking. 

Privacy

HR Content

  • View: View items (documents, notes, goals, and so on) that has the HR box checked under Privacy options. The HR box is a new privacy that is added with the Roles and Permissions feature.

Birthday

  • View: View employee’s birthday on their employee details page, in the newsfeed on the home page, and on the calendar (as long as the configuration setting is enabled).
  • Modify: Edit employee’s birthday on their employee details page. (Company > Full Directory. Click employee name. Click Edit Profile.) 

Compensation

  • View: View compensation-related fields on the employee record: pay type, pay rate, and currency. Makes these fields available for export. (Company > Full Directory. Click employee name.)
  • Modify: Allows you to edit an employee’s compensation information: pay type, pay rate, and currency. (Company > Full Directory. Click employee name. Click Edit Profile.)

 Emergency Contacts

  • View: View emergency contact information. (Company > Full Directory. Click employee name.)
  • Modify: Edit emergency contact information. (Company > Full Directory. Click employee name. Click Edit Profile.)

Gender

  • View: View gender information. (Company > Full Directory. Click employee name.)
  • Modify: Edit gender information. (Company > Full Directory. Click employee name. Click Edit Profile.)

Government ID

  • View: View government ID information. (Company > Full Directory. Click employee name.)
  • Modify: Edit government ID information. (Company > Full Directory. Click employee name. Click Edit Profile.)

Personal Contact Info

  • View: View personal contact information (Company > Full Directory. Click employee name) which contains the following pieces of information:
    • Mobile or Home Phone
    • Street Address
    • Street Address 2
    • City
    • Province or State
    • Country
    • Postal or ZIP code
  • Modify: Edit personal contact information (Company > Full Directory. Click employee name. Click Edit Profile) which contains the following pieces of information:
    • Mobile or Home Phone
    • Street Address
    • Street Address 2
    • City
    • Province or State
    • Country
    • Postal or ZIP code

Race/Ethnicity

  • View: View Race/Ethnicity information. (Company > Full Directory. Click employee name.)
  • Modify: Edit Race/Ethnicity information. (Company > Full Directory. Click employee name. Click Edit Profile.)

Accounts

  • Create: Create users, along with the following controls:
    • Add an Employee appears in the Add button on My Team page
    • Add an Employee appears in popular activities on My Team page
    • Add an Employee appears in the Add button on Company Directory page
    • Add an Employee appears in popular activities on Company Directory page
    • The checkbox for creating a user shows up in the Hire popup dialog box
    • Allows you to rehire a user, combined with other permissions.
  • Invite: Invite users to TribeHR along with the following controls:
    • Home Screen -> link to invite users and which users you can see when you open the link
    • Invite an Employee appears in add button menu on My Team page
    • Invite an Employee appears in popular activities on My Team page
    • Invite an Employee appears in add button menu on Company Directory page
  • Delete: Delete users. (Company > Full Directory. Click employee name. Click Edit Profile. Click Delete.)
  • Reset Password: Reset user's password. (Company > Full Directory. Click employee name. Click Show beside Account Management. Click Reset Password.)

Employee Termination

  •  Terminate: Perform the terminate action along with the following controls:         
    • Terminate link in edit profile
    • Terminate link in account management panel
  • View: If you have permission to view terminated users, you can display terminated users for any of the following reports that you have permission to view:
    • Annual Time Off Allocations
    • Time Off Report
    • Open Time Off Requests
    • Approved Time Off Requests
    • Rejected/Cancelled Time Off Requests
    • Time Off Ledger
    • Time Tracking
    • Payroll
    • Skills Matrix
    • Employee Information Changes
    • Terminations
    • Export Users

     Note: To show terminated users, click Filter to show the report filters, and then click Terminated under Show Users. Please note the following exceptions:

    • The Terminations report already shows all terminated users, if you have permission to view terminated users.
    • The Export Users report page allows you to include termination status information by checking the User Termination Status box.

Employee Basic Information

  •  View: View the following employee information (Company > Full Directory. Click employee name.):
    • Username
    • Email
    • Nickname
    • Twitter user name
    • LinkedIn URL
    • Blog URL
    • Reason for Change
    • Note for Historical Record Change

  • Modify: Edit the following employee information (Company > Full Directory. Click employee name. Click Edit Profile. Click the Job Details tab.):

 Employee Avatar

  • Modify: Change the profile picture. (Company > Full Directory. Click employee name. Click Edit Profile. Click on the Documents panel. Click the Profile Picture tab.)

Job Details

  • View: View the following employee job details:  
    • Manager
    • Job Title
    • Company Phone Number, Ext
    • Location
    • Department
      Also view Email and Company Phone Number on the Company Directory page, and allows the employee to be sorted into the proper location and department categories.
  • Modify:Edit the following employee job details:  
    • Manager

    • Location
    • Department

  • View: View additional employee details (Company > Full Directory. Click employee name. Click Show beside General Info.):

  • View: View employee history information, as long as you have permission to see the fields for which you want to view history:

    • Fields allowed by View permission for Employee Basic Information
    • Fields allowed by View permission for Compensation
  • Delete: Delete historical record on profile. (From an employee profile, click Show beside Employee History. Click the date of a historical change. Click Delete Historical Record.

Employee Notes

  • Create: Create notes on profile. (Company > Full Directory. Click employee name. Click Show beside the Notes panel. Click Add a Note.)
  • View: View notes on profile. (Company > Full Directory. Click employee name. Click Show beside the Notes panel.)
  • Modify: Edit notes on profile. (Company > Full Directory. Click employee name. Click Show beside the Notes panel. Click the gear icon beside the note and click Edit.)
  • Delete: Delete notes on profile. (Company > Full Directory. Click employee name. Click Show beside the Notes panel. Click the gear icon beside the note and click Delete.)

Documents

  • Upload: Upload documents to a profile. (Company > Full Directory. Click employee name. Click Show on the Documents panel. Click Upload File.)
  • View: View documents on a profile. (Company > Full Directory. Click employee name. Click Show on the Documents panel. Click the file to view it.)
  • Modify: Edit documents on a profile. (Company > Full Directory. Click employee name. Click Show on the Documents panel. Click the gear icon, and then click Edit.)
  • Delete: Delete documents from a user’s profile. (Company > Full Directory. Click employee name. Click Show on the Documents panel. Click the gear icon, and then click Delete.)

  • View: Access panels settings. (Gear icon > Integrations. Click the Panels tab.)

Role Assignments

  • View: View the role assignments for a user. (Company > Full Directory. Click Show beside General Information.)
  • Manage: Manage role assignments. (Gear icon > Roles. Click the gear icon beside the role, and then click Manage Assignments.)
    The Manage Assignments page also appears after creating, editing, or duplicating a role.
    Allows you to manage role assignments using the API.

Leave Requests

  • Create: Create time off requests on behalf of users. (Company > Full Directory. Click employee name. Click Show beside Time Off panel. Click Request Time Off.)
  • View:
    • View time off requests and transactions for users. (Company > Full Directory. Click employee name. Click Show beside Time Off panel. Click Review Time Off Requests.)
    • These requests also appear on the home page in the This Week and Next 30 Days sections, as well as on the Company Calendar.
  • Modify Pending: 
    • Edit the time off type, dates, days, and notes for a time off request that has a status of pending, but does not allow you to edit the user or status. (Company > Full Directory. Click employee name. Click Show beside Time Off panel. Click Review Time Off Requests.)
    • Approve & Modify: Edit the time off type, dates, days, notes, and status for a time off request.(Company > Full Directory. Click employee name. Click Show beside Time Off panel. Click Review Time Off Requests.)
  • Delete: Delete time off requests. (Company > Full Directory. Click employee name. Click Show beside Time Off panel. Click Review Time Off Requests. Click the gear icon and click Delete.)

 

Individual Time Off Allocation

  • View: 
    • View users’ individual time off allocation (Annually Allowed field). (Company > Full Directory. Click employee name. Click Show beside Time Off panel.)
    • View the Annually Allocated Time Off Report (if you also have the View permission for that report), and allows you to view the Time Off Quotas when adding a new employee.
  • Modify:
    • Edit users’ individual time off allocation (Annually Allowed field). (Company > Full Directory. Click employee name >Click Show beside Time Off panel.)
    • Allows you to view the Annually Allocated Time Off Report (if you also have the View permission for that report), and allows you to view and edit the Time Off Quotas when adding a new employee.

Leave Balances

  • View:
    • View users’ individual time off balances (Currently Available field). (Company > Full Directory. Click employee name. Click Show beside Time Off panel.)
    • View time off balances when creating time off requests. Required along with the View permission for Time off Reports to view the Time Off Report. Allows you to see Vacation and Sick on Export users report. Allows you to view time off balances in the Payroll report.  
  • Modify:
    • Edit users’ individual time off balances (Currently Available field). (Company > Full Directory. Click employee name. Click Show beside Time Off panel.)
    • Also allows you to edit time off balances from the Time Off Report page.

Leave Transactions

  • Create: Create a leave (time off) transaction. (Reports > Standard Reports > Time Off Ledger. Click Record a New Transaction.)
  • View: View leave (time off) transactions. (Reports > Standard Reports > Time Off Ledger. Also, Time Off panel on employee profile page.)
  • Modify: Edit leave (time off) transactions. Allows you to edit a leave (time off) transaction. (Reports > Standard Reports > Time Off Ledger. Click Edit beside a transaction.)

 

 Time Tracking

  • View: View time tracking sheets. (Company > Time Tracking, or Company > Calendar > Add button > Time Tracking)
  • Modify: Edit time tracking sheets. (Company > Time Tracking, or Company > Calendar > Add button > Time Tracking)

Kudos

  • Give: Give kudos to a particular set of users. With this permission, the Give Kudos button appears in the following locations:
    • On the home page 
    • On the employee profile on the Kudos tab and under Popular Activities.
  • View: View kudos for a particular set of users. Kudos appear in the following locations:
    • On the home page, under Happening in the Company
    • On the employee profile, on the Kudos tab
    • In employee reviews
  • Modify: Edit kudos for a particular set of users. (Employee profile, Kudos tab. Click the gear icon and then click Edit.)
  • Delete: Delete kudos for a particular set of users. (Employee profile, Kudos tab. Click the gear icon and then click Delete.)

Goals

  • Create: Create goals for employees, with the following ways to do so:
    • On the employee profile page, click the Goals tab and then click Add a New Goal.
    • On the employee profile page, under Popular Activities, click Add Goal for… .
    • On the home page, under Popular Activities, click Add a Goal.
  • View: View goals. Goals appear in the following locations:
    • On the employee profile page, click the Goals tab.
    • On the employee profile page, goals also appear on the Values tab is a goal is associated with a value.
    • On the home page, goals appears under Goals you are working on.
    • In employee reviews
  • Modify: Edit goals. On the employee profile page, click the Goals tab and then click Edit Goal beside the goal.
  • Delete: Delete goals. On the employee profile page, click the Goals tab and then click Edit Goal beside the goal. At the bottom of the goal page, click Delete.

Performance Reviews

  • Create :
    • Start a review cycle for another user. (Employee profile, under Popular Activities, click Start an Employee Review).
    • Allows you to start a review cycle for several users at once. (Performance > Review Cycles.)
  • File: 
    • Move a review into the “Filed” state. Does not allow you to update the review in any other way.
    • Allows you to see reviews in the “Ready to File” state on the employee profile’s Reviews tab, the Active Reviews page (Performance > Active Reviews), and on the home page.
  • Be Reviewer:
    • Participate in and update reviews for users for whom you are the reviewer. Does not imply that you can take the last "File" step (see the File permissions for Performance Reviews)
    • Allows you to see all non-filed reviews for these users on the employee profile’s Reviews tab and on the home page.
  • View Status : View the status of a review, but does not allow you to open the review.
  • View Filed: View (but not update as reviewer) filed reviews.
  • Delete: Delete a review, either from the employee profile or within the review. 

Feedback

  • Request: Request feedback for an employee. (Company > Full Directory. Click employee name. Click Feedback tab. Click Ask for New Feedback.) 

Tracked Skills

  • View:
    • View skills on a user’s employee profile. (Company > Full Directory. Click employee name. Click the Skills tab.)
    • Also allows you to see an employee’s skills in reviews.
  • Track: Add a tracked skill to an employee’s profile, but not set the skill’s initial value unless you also have TrackedSkillEvaluate. (Company > Full Directory. Click employee name. Click the Skills tab. Click Track a Skill.)
  • Evaluate: Evaluate a tracked skill. (Company > Full Directory. Click employee name. Click the Skills tab. Click the gear icon and then click Evaluate.)
  • Delete: Delete a tracked skill. (Company > Full Directory. Click employee name. Click the Skills tab. Click the gear icon and then click Delete.)

Events

  • Create : Create events on the company calendar, in the following ways:
    • Company > Calendar. Under Popular Activities, click Add Company Event, or click the Add button and then click Add an Event.
    • From the Book Some Time Off page, under Popular Activities, click Add Company Event, or click the Add button and then click Add an Event.
  • View: View events on the Company Calendar in the following ways:
    • On the home page, in the This Week and Next 30 Days sections of the Happening in the Company section.
    • Company > Calendar.
  • Modify : Edit an event on the Company Calendar. Company > Calendar. Click the event. Click Edit Event.
  • Delete : Delete an event on the Company Calendar. Company > Calendar. Click the event. Click Delete Event.

Incident Reports

  • Manage : View, create, edit, and delete incident reports on a user’s profile. (Company > Full Directory. Click employee name. Click Incident Reports tab.)

Job Postings

  • Create : Create job postings, with the following links appearing:
    • Post a Job Opening appears under Popular Activities on the home page.
    • Create a new job opening appears under Popular Activities on the Job Postings page (Hiring > Job Postings) 
  • Hire: Hire an applicant from their page. (Hiring > Applicants. Click the applicant name. On the applicant’s page, click Hire. )
  • View :
    • View all job postings, not just job postings for which you are part of the hiring or reviewer team. (Hiring > Job Postings)
    • Makes recently created, non-closed job postings appear under Happening in the Company on the home page.
    • Makes job postings with applicants appear under Actions for you to do on the home page.
  •  Modify : 
    • Edit job postings. (Hiring > Job Postings. Click Manage This Position beside the position. Click Edit Job Posting.)
    • Also enables the Close Job, Archive Applicants button on Edit Job Posting page.
  • Delete :
    • Delete job postings. (Hiring > Job Postings. Click the position name or click Manage This Position beside the position. Click Delete Job Posting.)
    • Also enables the Delete Job Posting & Applicants link on the Edit Job Postings page. 

Applicants

  • Create : Create an applicant, in the following ways:
    • Hiring > Applicants. Click Add an Applicant.
    • Hiring > Job Postings. Click the job posting. Click Add an Applicant.

Also allows you to move an existing applicant to a job posting.

  • View :
    • View the applicants for a particular job posting, along with the number of applicants. (Hiring > Job Postings.)
    • Allows you to export applicants for a job posting (From Job Postings, click Manage This Position. Click  Export Applicants for this Opening.
  • Modify : Edit an applicant. (Hiring > Applicants. Click an applicant. Click the gear icon and then click Edit.)
  • Send Message : Send a message to an applicant. (Hiring > Applicants. Click an applicant. Click Send a Message.)
  • Delete : Delete an applicant. (Hiring > Applicants. Click an applicant. Click the gear icon and then click Delete.) 

Applicant Notes

  • Create : Add a note to a job applicant’s page. (Hiring > Applicants. Click the applicant name. Click Add a Note.)
  • View : View notes that have been added to a job applicant’s page. (Hiring > Applicants. Click the applicant name.)
  • Modify : Edit a note on a job applicant’s page. (Hiring > Applicants. Click the applicant name. Click the gear icon and then click Edit.)

 Applicant Documents

  • Create : Add a document to a job applicant’s page. (Hiring > Applicants. Click the applicant name. Click Upload a File.)
  • View : View documents that have been added to a job applicant’s page. (Hiring > Applicants. Click the applicant name. Beside a file, click Download.)
  • Modify : Modify documents that have been added to a job applicant’s page. (Hiring > Applicants. Click the applicant name. Beside a file, click the gear icon and then click Edit.)

 Applicant Status

  • View : See the status (stage) and star rating of job applicants. (Hiring > Applicants, Hiring > Job Postings)
  • Modify : Modify the status (stage) and star rating of job applicants, as long you have the ApplicantStatusView permission. (Hiring > Applicants, Hiring > Job Postings)

 Hiring Team

  • Manage : Edit the membership of the hiring team (hiring managers and reviewers) for a job posting. (Hiring > Job Postings. Click the position name or click Manage This Position beside the position.)
