Global Permissions

TribeHR Roles and Permissions feature allows you to customize what users can access in your account. When creating a new role or editing an existing role you will see the permissions grouped into two. These are the Global Permissions and Limitable Permissions.

Global permissions are general permissions that you assign to a role.

System Access  - This card contains the permissions for Login and API.

Feature Access - This card contains the permission access to Calendar, Directory, Team and Org Chart, Importer and System Logs 

Culture - This card contains permissions access to Badges and Company Values.

Manage System Types  - This card contains permission to access company configuration types that are in TribeHR.

System Configuration - This card contains permission access to Company Settings, System Administrator Email Address, Password Strength Rules

Manage TribeHR Support Access - This card contains permission to give TribeHR access to your company data for support purposes.

Feature Management - This card contains permission to manage the features in your TribeHR account.

Integration Management - This card contains permission to manage the integrations with different software such as NetSuite and Single Sign-on.

Public Job Board - This card contains permission to manage the TribeHR Job Board

Reports - This card contains permissions to run standard reports and ad-hoc reports in TribeHR

System Access

Login

  • Web: Logs in to TribeHR at companyname.tribehr.com.
    • Access the Account Details tab for the logged in user, including Password field and Password Confirm field. (Click My Profile, and then click Edit Profile.)

API

  • Access: Make calls to the TribeHR API.
    • Access the Account Details tab for the logged in user, including the API Key section. (Click My Profile, and then click Edit Profile.)

Calendar

  • View: Access the Company calendar page when adding or editing (Click Company > Calendar). Also makes the calendar visible in the following locations:
    • Under the time off request page when adding, editing, or reviewing time off requests
    • Under the Event form when adding or editing Events
    • Allows you to go to the calendar index page when adding or editing calendar events.
  • Subscribe: Allows you to use the Subscribe URL for Calendar. Controls if the Subscribe link shows up in the sidebar on the Calendar page.

Company Directory

My Team

  • View: View the My Team page. (Click Company > My Team.) If you have direct reports, this page will show your direct reports you are allowed to view. If you do not have direct reports, this page will show your manager and users with the same manager as you, whom you are allowed to view.

Org Chart

  • View: View the org chart. (Click Company > Org Chart.) Includes these interface elements:
    • View Org Chart appears in Manage button menu on My Team page
    • View Org Chart appears in Manage button menu on Company Directory page

Importer

  • Import Users: Allows you to use the Importer, including these interface elements:
    • Import Employees appears in Add button menu on My Team page
    • Import Employees appears in popular activities on My Team page
    • Import Employees appears in Add button menu on Company Directory page

System Logs

  • View: Allows you to view System logs and individual log details. (Gear icon > Advanced > Click Logs tab.)

System Backup

  • Download: Allows you to download a full SQL backup of most core company data, except for uploaded files, resumes, and avatars.

Badges

  • Give: For Kudos, shows the badge selector/save selected badge when creating/editing (for any user)
  • View: For Kudos, shows the badge icon whenever viewing any kudos with badge associated (homepage, employee profile, modal window)

NOTE: Badges associated with an object are associated with all Users associated with that object (all kudos recipients, etc.) 

Company Values

  • Assign: Values associated with an object are associated with all Users associated with that object (all kudos recipients, etc.)
    • Kudos: When creating/editing (for any User), view the values selector/save selected values
    • Goals: When creating/editing (for any User), show the values selector/save selected values
  • View: View the Values tab: Company settings > Values page and load the Value Champions popup.
    Makes values associated with an object also associated with all users associated with that object (such as, all kudos recipients)
    • Kudos: View values icons whenever viewing any kudos with values associated (homepage, employee profile, modal window)
    • Goals: View values associated with a goal when getting a detailed view of a goal on the user profile

Badges

  • Create:
    • Allows access to the Setup page in Badges feature
    • Shows the New Badge button on the Setup page
    • Shows the Sample Badges section on the Setup page
    • Allows saving the new badge form
    • If no badges set up yet, shows a "set one up now" message on pages in badges section
  • Modify:
    • Allows access to the Setup page in Badges feature
    • Shows the 'Edit' option in the gear for badges listed in 'setup'
    • Shows the 'Reorder Badges' button in 'setup', and allows reordering the badges and saving new order
    • Allows saving the edit badge form
  • Delete:
    • Gives access to 'setup' page in Badges feature
    • Shows the 'Delete' option in the gear for badges listed in 'setup'

 

Change Codes

  • Create:
    • Access to view the list of change codes in the Administration section
    • Add new change codes to the list
  • Modify:
    • Access to view the list of change codes in the Administration section
    • Allows updating the title of change reasons in the list
  • Delete:
    • Allows access to view the list of change codes in the Administration section
    • Allows removing change reasons from the list

Company Event Types

  • Create: Create a new event type
  • Modify:
    • Edit existing event type
    • Make event titles on the calendars to become hyperlinks to the edit interface
    • Enable the Manage Event Types gear menu option on the Company Calendar page
  • Delete:
    • Delete an existing event type
    • Accessible via the hyperlinked delete text

Custom Fields

  • Create:
    • Create new custom fields. (Gear icon > Employees. Click New Custom Field.
    • Make the Manage Custom Fields command available from Gear menu on the My Team and Company Directory pages.
  • Modify:
    • Re-order and edit custom fields. (Gear icon > Employees. Click the custom field name or click the Gear icon beside the permissions and click Edit. To reorder, click Re-order Fields.)
    • Make the Manage Custom Fields command available from Gear menu on the My Team and Company Directory pages.
  • Delete:
    • Delete custom fields. (Gear icon > Employees. Click the Gear icon beside the permissions and click Delete.
    • Make the Manage Custom Fields command available from Gear menu on the My Team and Company Directory pages.

Departments

  • Create:
    • Create departments. (Gear icon > Company > Departments. Click New Department.
    • Make the Manage Departments command available from Gear menu on the My Team, Company Directory, and Company Position pages. Makes the Management Departments link available from Popular Activities on Company Directory page.
  • Modify:
    • Edit existing departments. (Gear icon > Company > Departments. Click department name.)
    • Make the Manage Departments command available from Gear menu on the My Team, Company Directory, and Company Position pages. Makes the Management Departments link available from Popular Activities on Company Directory page.
  • Delete:
    • Delete departments. (Gear icon > Company > Departments. Click the gear icon beside departments to delete them).
    • Make the Manage Departments command available from Gear menu on the My Team, Company Directory, and Company Position pages. Makes the Management Departments link available from Popular Activities on Company Directory page.

Employee Document File Types

  • Create: Create file types. (Gear icon > Employees > Types of Files. Click New Type of File.)
  • Modify: Edit existing file types. (Gear icon > Employees > Types of Files. Click file type name.)
  • Delete: Delete existing file types. (Gear icon > Employees > Types of Files. Click Delete.)

Hiring Stages

  • Create: Create a new hiring stage. (Gear icon > Hiring. Click New Hiring Stage.)
  • Modify:
    • Edit the name of an existing hiring stage. (Gear icon > Hiring. Click hiring stage name.)
    • Reorder hiring stages. (Gear icon > Hiring. Click Re-Order Stages.)
  • Delete: Delete existing hiring stage. (Gear icon > Hiring. Click the gear icon beside the hiring stage and click Delete.)

Leave Types

  • Create:
    • Create a custom leave (time off) type. (Gear icon > Employees > Types of Time Off. Click New Type of Time Off.
    • Makes the Configure Time Off command available from Gear menu on the My Team and Company Directory pages.
  • Modify
    • Edit existing leave types. (Gear icon > Employees > Types of Time Off. Click the name of the time off type or gear icon > Edit.)
    • Makes the Configure Time Off command available from Gear menu on the My Team and Company Directory pages.
  • Delete
    • Delete existing custom leave types. (Gear icon > Employees > Types of Time Off. Click gear icon, then click Delete.) NOTE: you cannot delete default leave types: vacation and sick time.
    • Makes the Configure Time Off command available from Gear menu on the My Team and Company Directory pages.

Locations

  • Create: Create locations. (Gear icon > Company > Locations. Click New Location.)
  • Modify: 
    • Company Setup > Locations
    • Edit existing locations. (Gear icon > Company > Locations. Click the location name or Gear > Edit beside the location.)
  • Delete: Delete locations. (Gear icon > Company > Locations. Click Gear icon and then click Delete.)

 

News Articles

  • Create:
    • Create a news story. Use one of these methods:
      • From the home page, beside Happening in the Company, click Add News Story.
      • Click Gear icon > Company > News Articles. Click New Article.
      • Click Gear icon > Company > News Sources. Click Add News Story.
  • View: View news stories. (From the home page, under Happening in the Company, click Read More link beside the news story.)
  • Modify: Edit existing news stories. (Click Gear icon > Company > News Articles. Click gear > Edit beside the news story.
  • Delete: Delete news stories. (Click Gear icon > Company > News Articles. Click gear > Delete beside the news story.

News Sources

  • Create: Create a news source. (Click Gear icon > Company > News Sources. Click New Source.)
  • Modify: Edit existing news sources. (Click Gear icon > Company > News Sources. Click name of news source or click Gear > Edit beside the news source.)
  • Delete: Delete news sources. (Click Gear icon > Company > News Sources. Click Gear > Delete beside the news source.)

Positions

  • Create: Create new company positions. (Click Company > Company Positions. Click Add icon and click Add New Position.)
  • View: View existing company positions. (Click Company > Company Positions.)
  • Modify: Edit existing company positions. (Click Company > Company Positions. Click the name of the position.)
  • Delete: Delete company positions. (Click Company > Company Positions. Click the name of the position, and then click Gear > Delete Position.)

Profile Fields

  • Enable: Enable and disable optional profile fields. (Click Gear > Employees > Profile Fields. Click an optional profile field to edit. Check or clear the Use this profile field box. NOTE: this box is not available if you have EEO enabled.
  • Modify: Edit profile fields. (Click Gear > Employees > Profile Fields. Click a profile field to edit it.

Resources

  • Upload: Upload new files to the Company Resources page. (Click Company > Resources. Click the Add button, and then click Add New Resource.)
  • Modify: Edit existing files on the Company Resources page. (Click Company > Resources. Click the Gear icon beside the resource and click Edit Resource.)
  • View: Download files and mark them as viewed on the Company Resources page. (Click Company > Resources. Click the Gear icon beside the resource and click Mark as Read or Download.)
  • Delete: Delete files and mark them as viewed on the Company Resources page. (Click Company > Resources. Click the Gear icon beside the resource and click Delete.)

Resource Categories

  • Create: Create new resource categories/folders on the Company Resources page. (Click Company > Resources. Click the Add button, and then click Add New Folder.)
  • Modify: Edit resource categories/folders on the Company Resources page. (Click Company > Resources. Click the Gear icon, and then click Edit Folder.)
  • Delete: Delete resource categories/folders on the Company Resources page. (Click Company > Resources. Click the Gear icon, and then click Delete.)

Review Templates

  • Create: Create review templates. (Click Gear icon > Employees > Review Templates. Click New Review Template.) NOTE: This does not impact existing reviews.
  • Modify: Edit review templates. (Click Gear icon > Employees > Review Templates. Click the name of the template.) NOTE: This does not impact existing reviews.
  • Delete: Delete review templates. (Click Gear icon > Employees > Review Templates. Click the Gear icon beside the template and click Delete.) NOTE: This does not impact existing reviews.

Roles

  • Create: Create roles (Click Gear icon > Roles. Click Create Role.) and duplicate roles (Click Gear icon beside a role and then click Duplicate Role.)
  • View: View roles available in the account (Click Gear icon > Roles.)
  • Modify: Edit roles (Click Gear icon > Roles. Click the name of the role or click the Gear icon beside the role and click Edit Role.
  • Delete: Delete roles (Click Gear icon > Roles. Click the Gear icon beside the role and click Delete Role.

Skills

  • Create: Create skills. (Click Gear icon > Employees. Click the Skills tab. Click New Skill.)
  • Modify: Edit skills. (Click Gear icon > Employees. Click the skills or click the Gear icon beside the skill and click Edit Skill.)
  • Delete: Delete skills. (Click Gear icon > Employees. Click the Gear icon beside the skill and click Delete Skill.)

Values

  • Create: Create company values. (Click Gear icon > Company. Click the Values tab. Click New Custom Value.
  • Modify: Edit company values. (Click Gear icon > Company. Click the Values tab. Click the Gear icon beside the value and click Edit.
  • Delete: Delete company values. (Click Gear icon > Company. Click the Values tab. Click the Gear icon beside the value and click Delete.

Webhooks

These permissions also require the ApiAccess permission.

  • Create: Create webhooks. (Click Gear icon > Advanced. Click the Webhooks tab. Click New Webhook). Also allows you to create webhooks using the API.
  • Modify: Edit webhooks. (Click Gear icon > Advanced. Click the Webhooks tab. Click the webhook or click the Gear icon beside the webhook and click Edit. Also allows you to edit webhooks using the API.
  • Delete: Delete webhooks. (Click Gear icon > Advanced. Click the Webhooks tab. Click the Gear icon beside the webhook and click Delete. Also allows you to delete webhooks using the API.

Company Settings

  • Modify: Allows the following actions on the Company Information page (Gear icon > Company):
    • Edit company logo
    • Edit Company Name
    • View and Edit the Human Resources Email Notification Address
    • View and Edit the Date and Time setting
    • View and Edit the Default Currency setting
    • Clear the trial information (Click Clear Trial Information)
    • Check or Uncheck the  the future scheduled accruals box and the future approved time off box
    • Set the Reset balances on dropdown list
    • Enable and Disable incident reporting
    • Enable and Disable EEO features
    • Makes the message "Your trial is almost done" appear on every TribeHR page when your trial period is almost over.

System Administrator Email Address

  • Modify: View and Edit the System Administrator Email Notification Address on the Company Information page (Gear icon > Company)

Password Strength Rules 

  • Modify: Edit the password strength rules (Gear icon > Employees > Password Strength)

Support Preferences

  • Modify: Check or uncheck the Allow TribeHR comprehensive access to our company data for support purposes box on the Advanced Setup page. (Gear > Advanced > Support)

Enabled Features

  • Manage: Enable or disable features on the Advanced Setup page by checking or clearing the features’ boxes. (Gear icon > Advanced > Features)

Netsuite

  • Configure: Enable syncing of employee data. (Company > Full Directory. Click employee name link. Check the Enable syncing for employeename box.)

Panels

  • Configure: Configure panels for partner-provided custom profile content.  (Gear icon > Integrations. Click Panels tab.)

Single Sign-On

  • Configure: Configure the Single Sign-On page and generate a connection point with partner applications. (Gear icon > Single Sign-On > Other. Click the Generate button for the desired partner application.)

Payroll

  • Configure:
    • Paychex Payroll Employee ID, Company ID, Time off type
    • ADP Employee/File Number
    • Configure the payroll settings on the Account Details tab (for users with payroll integrations configured). Depending upon payroll provider, these settings are one of these:
  • Use:    
    • View and Edit the payroll fields on a user’s profile.
    • Acess the payroll links on the Payroll Report page.

Chat Integrations

  • Configure: Manage settings for third-party chat integrations (Gear icon > Integrations.)

Job Boards

  • Create: 
    • Create job board layouts. (Gear icon > Hiring > Job Board Options. Click New Job Board Layout.)
    • Edit and duplicate job board layouts (Click Gear icon beside the layout and click Edit or Duplicate.)
    • View and Modify all fields in the Job Site settings: (Gear icon > Company > General Info tab).
  • Modify:    
    • Edit job board layouts (Click Gear icon beside the layout and click Edit.)
    • View and Modify all fields in the Job Site settings: (Gear icon > Company > General Info tab).
  • Delete:

Ad-Hoc Reports

  • View: 
    • Access ad hoc reports. If you have any other reports permission. (Reports > Ad Hoc Reports. To create a new report, click New Report.)
    • Note: Before you can access data with an ad-hoc report, you must have permissions for that data. For example, to create a Time Off report, you must have both the View permission for the Time Off Report and the View permission for Leave Balances.

Annual Time Off Allocations

Time Off Report

  • View: Access the Time Off Report. (Reports > Standard Reports)
    • Also requires the View permission for Leave Balances.

Open Time Off Requests Report

  • View: Access the Open Time Off Request report. (Reports > Standard Reports) Also requires the View permission for Leave Requests.

Approved Time Off Requests Report

  • View: Access the Approved Time Off Requests report. (Reports > Standard Reports) Also requires the View permission for Leave Requests.

Rejected or Cancelled Time Off Requests Report

Time Off Ledger Report

  • View: Access the Time Off Ledger report. (Reports > Standard Reports) Also requires the View permission for Leave Requests.

Time Tracking Report

  • View: Access the Time Tracking Report. (Reports > Standard Reports) Also requires the View for Time Tracking. 

Payroll Report

  • View: Access the Payroll report. (Reports > Standard Reports) Also requires the View permission for Compensation (but not any active targets).

Gender Report

  • View: access the Gender Summary report. (Reports > Standard Reports)

EEO-1 Survey Report

  • View: Access the EEO1 Survey report. (Reports > Standard Reports)

Applicant Sources Report

  • View: Access the Applicant Sources report. (Reports > Standard Reports)

Recruiting Pipeline Report

EEO-AA Report

  • View: Access the EEO/AA Report. (Reports > Standard Reports) 

Performance Summary Report

  • View: Access the Performance Summary report. (Reports > Standard Reports) Also requires the View permission for Kudos.

Export Review Report

Compensation Report

  • View: Access the Compensation Summary report. (Reports > Standard Reports) Also requires the View permission for Compensation.

Skills Matrix Report

  • View: Access the Skills Matrix report. (Reports > Standard Reports)  Also requires the View permission for Tracked Skills for a user to see them listed in the report.

Length Of Service Report

  • View: Access the Length of Service report. (Reports > Standard Reports)  Requires the View permission for Employment Details. Also requires the View permission for Job Details to see the Departments column.

OSHA 300 Log Report

  • View: Access the OSHA 300 Log report. (Reports > Standard Reports)

OSHA 300 A Summary Report

Employee Information Changes Report

Terminations Report

  • View:
    • Access the Terminations report. (Reports > Standard Reports). Requires View permission for Terminated Users. The extent of information in the report requires the View permission for Job Details to see Department and Location columns.
    • Requires the View permission for Employment Details to see certain details.
    • Requires the View permission for Compensation to see salary information.
    • Requires View for Employee Basic Information and the Sensitive Employee Information permissions to see certain details.

New Hires Report

  • View: 
    • Access the New Hires report. (Reports > Standard Reports)
    • Requires the View permission for Job Details to see Department and Location columns.
    • Requires the View permission for Employment Details to see certain details.
    • Requires the View permission for Compensation to see salary information.
    • Requires View permission for Employee Basic Information and the Sensitive Employee Information permissions to see certain details.

Export Users Report

  • View: Export a list of employees, along with a configurable set of fields, to a CSV file. Makes the Export Employees link appear on the My Team and Company Directory pages, under Popular Activities.
